TERMS & CONDITIONS ON BOOKING

If you have booked our Advance Purchase Rate, non-refundable payment will be taken in full on booking. Your booking cannot be cancelled or changed in any circumstances: only book on this option if you are confident about your plans.

If you have booked our Flexible Rate, your card details are held prior to arrival as a guarantee against your booking and you may cancel or change your booking free of charge up to 3pm on the day before your arrival date. After this time, your tariff will be charged to the card given on booking, in full. If your booking is for longer than 3 days, or you wish to make a group booking (more than 3 rooms) we require a £50 non-refundable deposit per room per night to confirm your booking. For such longer stays, or groups, your booking is not confirmed until we have received the relevant deposit.

If you have booked any additional items: such as breakfast, early or late checkout, these will be charged at the same time as your accommodation. Like your accommodation, once charged, these items are non-refundable.

Please note: if we are unable to charge your card at any time, we will use all reasonable efforts to contact you; your booking is not confirmed until we have a valid payment card. 

We accept all forms of charge card, except Amex and Diners’ cards. Cheques are no longer valid tender. Cash is accepted for additional payments during your stay, however your original booking will need to be paid by card, and a current and valid card presented on check in.

We require a current and valid payment method as guarantee at all times during your stay. If we do not hold a card against your original booking (for example, if you have used a ‘virtual card’ on a booking portal), we will require presentation of the same on check in. In such a case, we may require a £10 pre-payment from that card at check in. The card you confirm to us on check in will be used to settle all additional costs billed to your room during your stay.

For the better enjoyment of all of our guests, we do not take group bookings of more than 4 rooms unless you are taking exclusive hire of the House, or unless you and all other people in the group are attending a private dining function with us and we reserve the right to cancel any group bookings which do not comply with this requirement.

For bookings during Graduation Week, we require non-refundable pre-payment in full to confirm your booking. This will be made clear to you at time of booking.

Southernhay House is “no smoking” throughout. Should we need to deep clean your room for any reason and/or take the room out of service, a charge of £400 will be applied. We reserve the right to charge, in addition, for any damage, specialist cleaning, emergency call-outs and replacement needed as a consequence of extra-ordinary damage to the room during your occupation and loss of revenue should we need to take the room out of service for emergency repairs. In giving us your credit card details, you confirm that we may take such payment and you hereby authorise the same.

Our luxury toiletries are yours to use freely in the room during your stay. Should you choose to take them home, you will be charged £50 per item taken. We will, of course, also charge for any items damaged or which need replacing after your stay.
