TERMS & CONDITIONS ON BOOKING


Unless otherwise stated, your card details are held prior to arrival as a guarantee against your booking and you may cancel or change your booking free of charge up to 3pm on the day before your arrival date. After this time, your tariff will be charged to the card given on booking, in full. Please note: if we are unable to charge your card at this time, we will use all reasonable efforts to contact you; your booking is not confirmed until we have a valid payment card


We accept all forms of charge card, except Amex and Diners’ cards. Cheques are no longer valid tender. Cash is accepted for additional payments during your stay, however your original booking will need to be paid by card, as above and a current and valid card presented on checkin, as below.


We require a current and valid payment method as guarantee at all times during your stay. If we do not hold such a card against your original booking (for example, if you have used a ‘virtual card’ on a booking portal), we will require presentation of the same on checkin. In such a case, we will require a £10 pre-payment from that card at checkin, which will be used against any incidentals incurred during your stay or, if there are none or of less value, refunded in whole or in part. 


If your booking is for longer than 3 days, or you wish to make a group booking (more than 3 rooms) we require a £50 non-refundable deposit per room per night to confirm your booking. For the better enjoyment of all of our guests, we do not take group bookings of more than 4 rooms unless you are taking exclusive hire of the House, or unless you and all other people in the group are attending a private dining function with us and we reserve the right to cancel any group bookings which do not comply with this requirement. For such longer stays, or groups, your booking is not confirmed until we have received the relevant deposit.


For bookings during Graduation Week, we require pre-payment of your tariff to confirm your booking. This will be made clear to you at time of booking. Payment in this case is non-refundable. 


Southernhay House is “no smoking” throughout. Should we need to deep clean your room for any reason and/or take the room out of service, a charge of £300 will be applied. We reserve the right to charge, in addition, for any damage, specialist cleaning, emergency call-outs and replacement needed as a consequence of extra-ordinary damage to the room during your occupation and loss of revenue should we need to take the room out of service for emergency repairs. In giving us your credit card details, you confirm that we may take such payment and you hereby authorise the same.

 

Our 'Soapsmith' luxury toiletries are yours to use freely in the room during your stay. Should you choose to take them home, you will be charged as priced. You will find an honesty “trug” minibar, for you to enjoy and/or take home at the prices shown. Please tell us which products you have eaten and/or taken with you so that we can add them to your account. We will charge your card for any items taken from your room but not declared. In giving us your credit card details, you confirm that we may take such payment and you hereby authorise the same.

 

The card you confirm to us on arrival will be used to settle all additional costs billed to your room during your stay.
